🧼 Communicating with Clients
-
FOR ALL EMAILS TO CLIENTS, THE SUBJECT LINE MUST SAY “Your VA Disability Case” - this is going to make it easier for clients to find emails from us and we can tell them it’s not spam if it says “Your VA Disability Case” in the subject line
-
When you submit something to the VA, make sure you email the client and let them know what was filed and what to expect next, so everyone is on the same page. We are working on standardized email templates we can use for routine emails throughout the process, but see the templates section for some examples to make it easier to just copy and paste information as needed

đź’Ľ Case Tab
- Synopsis - needs to be formatted the same way so everyone can understand it and we know where to find the information we need to have readily available
- [Claims] - Waiting for Initial Decision / Supp Decision / HLR Decision
- [Claims] - [Date] Initial Decision
****** All other information about client (ie. homeless, does not use email) should go in Special Note (quick note at the top of the screen)***

âś… Checklist
- DECISION checklist items - need to put the date of the application and claims filed ie. 11/22/22 - tremors, thyroid condition - Decision?
- this will make it easier for us to track what claims are pending and what claims have been decided

📝 Notes
- put what claims were submitted on 526EZ with confirmation # in note
- be more detailed in notes - what you talked to the client about on the phone; if you left a message, what information were you looking for?
- so if someone in the office gets the call back we can help each other out instead of making the client play phone tag with one person forever

♿ Claims Tab
- When you file a claim, put the date you filed in the Procedural History section of the claims tab so we can keep track of the claim stream without having to do it all out on appeal.
